Site Requirements and Working Conditions

This page outlines our standard terms of hire and site conditions. It’s here to keep things clear and avoid misunderstandings before work starts. If you book Pro Haul Bobcat Hire, these terms apply unless we agree otherwise in writing. We’ll always talk things through upfront and let you know what applies to your job.

1/ Site access and conditions

  • You must provide clear and safe access to the work area.
  • If access is blocked or the site is not ready and our operator cannot work, that time is billable.
  • If the site has soft ground, mud, steep areas, low clearance, narrow access, or anything that could affect the work or machine movement, this must be disclosed before work starts so the job can be planned correctly.

2/ Underground and overhead services

  • You are responsible for identifying and clearly marking all underground and overhead services on site, including power, water, gas, sewer, stormwater, and data.
  • We are not responsible for damage to unmarked, incorrectly marked, or undisclosed services. Any costs relating to unknown or unmarked services are the client’s responsibility.
  • If you are unsure, services should be located and confirmed before work starts.

3/ Changes to site conditions after quoting

  • Quotes and bookings are based on the site conditions as they exist at the time of inspection or quoting.
  • If the site is altered after quoting, including the installation of new services, pipes, conduits, drainage, or structures, this must be disclosed before work starts.
  • We are not responsible for damage to newly installed, exposed, or shallow services located within the work area that are affected by normal machine movement, unless those services have been clearly identified, protected, and agreed to in advance.
  • If changes to the site affect how the work needs to be carried out, we may pause and discuss revised methods, sequencing, or pricing before continuing.

4/ Scope of work and variations

  • Your quote or booking covers a defined scope of work.
  • Any changes to the scope on the day are treated as variations and are billed at the current day rate or hourly rate, depending on the job. All variations will be discussed before proceeding.

5/ Spoil, tipping, and materials

  • We will confirm upfront whether spoil is to remain on site or be removed.
  • Disposal and tip fees are charged separately unless they are included in a fixed price or lump sum quote.
  • Extra loads, additional trips, or extra tip fees are billable.

6/ Rock, rubble, and hard dig conditions

  • Standard rates apply to normal soil and typical site conditions.
  • If rock, reinforced concrete, heavy rubble, hard dig, or unexpected ground conditions are encountered, the job may take longer or require different equipment. Work may pause while options and any rate changes are discussed before continuing.

7/ Contaminated or hazardous material

  • We do not handle asbestos or contaminated material unless agreed in writing.
  • If suspected contamination or asbestos is found, work will stop in that area. Testing, specialist removal, and any associated costs are the client’s responsibility.

8/ Weather and ground conditions

  • If weather or ground conditions make the work unsafe or likely to cause damage, work may stop.
  • Time on site up to that point is billable under the agreed day rate or hourly arrangement. Rescheduling is by mutual agreement.

9/ Waiting time and stand down

  • If our operator is on site and cannot work due to site issues, waiting time is billable at our hourly rate.
  • Examples include blocked access, other trades working in the area, late trucks, or the site not being ready.

10/ Cancellations and postponements

If you need to cancel or move a booking, please provide as much notice as possible.

  • More than 24 hours’ notice. No fee.
  • Same-day cancellation or postponement. A minimum charge may apply.

The applicable cancellation terms will be confirmed at booking.


11/ Damage and responsibility

  • You are responsible for damage to our machines caused by undisclosed site hazards or conditions.
  • We are responsible for damage caused by clear operator error.
  • Normal operation of tracked or wheeled machines may mark lawns, soft ground, paving, or similar surfaces. If surface protection is required, this must be discussed before work starts.

12/ Permits and approvals

  • You are responsible for obtaining any required council permits, approvals, or permissions, including parking or access approvals.
  • We will follow client instructions where lawful and safe.

13/ Working hours and noise

  • Standard working hours are typically 7am to 5pm unless agreed otherwise.
  • Work outside these hours is by agreement only and may attract additional charges.

14/ Fuel, cleaning, and mobilisation

  • Unless otherwise stated, fuel is included in our hire rates.
  • Excessive cleaning caused by mud, wet clay, cement, or similar conditions may be charged.
  • Machine transport is charged as a float per trip or per move as agreed at booking.

15/ Attachments and extras

  • We will confirm the attachments required for the job, such as breakers, augers, rippers, forks, or towing equipment.
  • Some attachments may be included, while others may attract an additional daily charge. This will be confirmed before work starts.

16/ Payment terms

  • Payment terms are confirmed at booking or on your quote.
  • Unless otherwise agreed, invoices are due within 7 days.
  • Overdue accounts may result in work being paused until payment is brought up to date.

What happens if the site changes after you’ve quoted?

Our quotes are based on the site conditions at the time of inspection or quoting. If new services, structures, or other changes are added after that, you must let us know before work starts. Changes may affect how the job is done, the sequence of work, or the pricing.

What order should work be done in?

In most cases, demolition and heavy removal should be completed before new services, pipes, or finishes are installed. Installing services first can increase the risk of damage from normal machine movement.

What if access isn’t ready when you arrive?

If we arrive on site and cannot work due to blocked access, other trades in the way, or the site not being ready, waiting time is billable at our hourly rate.

Are disposal and tip fees included?

Disposal and tip fees are charged separately unless they are included in a fixed price or lump sum quote. We always confirm this upfront before starting work.

What happens if weather stops the job?

If weather or ground conditions make the work unsafe, we may stop work. Time on site up to that point is billable, and we’ll discuss rescheduling once conditions improve.
